Welcome to the National Coalition Hackathon, organized by TechTatva Deep Learning Club, Chandigarh University ("we," "us," or "our"). We are committed to protecting your personal information and your right to privacy.
This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you register for, attend, or interact with the National Coalition Hackathon. By registering for or attending the Hackathon, you agree to the collection and use of information in accordance with this policy.
Information We Collect
We collect information that identifies, relates to, describes, references, is capable of being associated with, or could reasonably be linked, directly or indirectly, with you ("Personal Information").
A. Information You Provide Directly
- Registration Data: Name, email address, phone number, job title, company name, and mailing address.
- Payment Information: If you purchase a ticket, our third-party payment processors (e.g., Stripe, PayPal) collect your credit card details. We do not store your full credit card information on our servers.
- Sensitive Information: Dietary restrictions, food allergies, or physical accessibility requirements. (Classified as Sensitive Personal Data).
- Profile Data: Biography, social media links, and photo added to the event app.
B. Automatically Collected
- Device Data: IP address, browser type, and operating system when visiting registration site.
- Badge Scanning & RFID: Smart badges (RFID/NFC) manage access. We collect data on which sessions, zones, or exhibitor booths you visit.
C. Multimedia Data
- Photography & Video: Images and video footage of attendees, speakers, and the venue environment.
How We Use Your Information
- Event Logistics: To issue your badge, verify your identity, process your ticket payment, and manage venue capacity.
- Communication: To send you updates, schedule changes, speaker announcements, and logistical information regarding the Summit.
- Health & Safety: We use dietary and accessibility information solely to accommodate your specific needs during the event.
- Marketing: To inform you about future National Coalition Hackathons or related events (you may opt-out at any time).
- Analytics: To analyze attendance rates, session popularity, and demographic trends to improve future events.
Sharing of Information
We value your trust and restrict the sharing of your data. However, data sharing occurs in the following ways:
A. Badge Scanning (Lead Retrieval) - Critical
How it works: Exhibitors and Sponsors will have badge scanners at their booths and session doors.
Your Consent: If you allow an exhibitor to scan your badge, you are explicitly consenting to share your Registration Data with that specific exhibitor.
Consequence: That exhibitor may contact you post-event. If you do not wish to share your data, do not allow your badge to be scanned at exhibitor booths.
B. Event Sponsors
We may share a delegate list with top-tier sponsors. This list typically includes Name, Job Title, and Company Name, but excludes direct contact details (email/phone) unless you have specifically opted-in via a checkbox during registration.
C. Service Providers
We share data with trusted third-party vendors who assist in operating the Summit, including Ticketing platforms, Venue security/catering, and Event mobile app providers.
Photography and Media Recording Policy
Please be advised that the Tech & Nation's Summit is a documented event.
- 1. Recording: You may be photographed, filmed, or recorded by the Summit organizers or approved media partners.
- 2. Usage: These materials may be used for promotional purposes, including on our website, social media channels, and press releases.
- 3. No Compensation: You understand that you will not receive compensation for the use of your image.
- 4. Opt-Out: If you do not wish to be photographed, please inform the photographer directly or contact the registration desk to see if a "No Photo" lanyard/sticker is available. We cannot guarantee you will not appear in background crowd shots.
